Generating documents from a deal
Create agreements, invoices, and letters straight from the deal card: pick a template and a seller company, review the merged PDF, and track its status.
Ikigai turns a deal into a client-ready PDF in a couple of clicks. On the deal card, the "Documents" block offers "Create & send for signature" — "We'll fill it with the deal's data and render a PDF you can review before sending."
What you can generate
Document types come from your workspace's templates:

The generation flow
- Pick a template and a company. Choose the document type and the seller company it should be issued by. Companies are configured in Settings together with templates — each carries its own legal name, registration details, signatory, bank details, logo, and stamp, so one workspace can issue documents under different legal entities.
- Data merges automatically. The template's placeholders are filled from the deal, its primary contact, the selected company, and the workspace. The compose dialog shows a live preview and flags unfilled fields ("All fields filled" or a count of fields still empty) plus the "Document number".
- Review the PDF. The document is rendered to PDF on the server and shown to you before anything is sent. The merged content is frozen at this moment — later edits to the deal don't silently change a document you already reviewed.
- Send or download. Send it for e-signature (see e-signature) or use "Download" to get the PDF.
Statuses
Each generated document carries a status you can see on the deal: "Draft", "Sent", "Viewed", "Pending", "Signed", "Declined", "Canceled", "Bounced", "Expired", "Error". A draft that hasn't been sent yet can still be deleted ("Delete").
Templates and storage
- Templates live in Settings; each is an HTML body with merge placeholders (deal, contact, company details, document number and date) plus an optional file-name pattern. Inactive templates disappear from the picker.
- Numbering. The document number is derived from the deal's application number and the date, so it is traceable back to the case.
- Storage. Rendered PDFs are stored in the workspace's file storage and also appear in the Library's documents list, filterable by kind and by the record they're attached to. Both the sent PDF and, after signing, the signed copy ("Download signed") are kept.
Note: the deal's primary contact needs an email address before you can send — otherwise you'll see "This deal's primary contact has no email — add one to send for signature."
