Working the inbox: read, reply, archive, reopen

The daily email workflow in the Mail section: folders and filters, replying, archiving and reopening threads, unread counters, and visible bounces.

The Mail section is a shared email inbox — compose, reply, filter and archive. This article covers the everyday workflow after your mailbox is connected.

Folders and filters

The left rail mirrors a classic mail client:

FolderWhat lands there
InboxIncoming threads that still need attention.
Assigned to meThreads assigned to you personally.
DraftsUnfinished emails — saved automatically.
SentEverything your team sent.
ArchiveSorted threads. "Sorted emails land here. Archive what you don't need — and the inbox stays clean."
Delivery failuresBounced emails that could not be delivered.
SpamMessages your provider marked as spam.

On top of folders, filters narrow the list: All, Unread, Awaiting reply, Archived, Bounces, Snoozed, Scheduled, plus toggles like Starred only, Has attachments, Inbound/Outbound, and Without deal. Sorting is Newest first or Oldest first.

Reading and replying

Open a thread to read the full conversation; the reply composer opens with Reply · sender. From the list you can also press c to compose a new email. Each thread shows its linked contact and deal in the context panel — or an Attach button when nothing is linked yet.

Archive and reopen

  • Archive a thread with the button or the E shortcut once it is handled.
  • Archived by mistake? Open it in the Archive folder and click Reopen — the thread returns to the folder it came from.
  • Both actions are recorded in the thread's audit trail ("archived this thread" / "returned this thread to inbox").
  • Archiving mirrors to Gmail: the conversation is archived on both sides.

Unread counters — Gmail parity

Folder badges show unread counts, and they are intentionally kept in parity with Gmail: if Gmail shows a number, Ikigai shows the same number. That includes delivery-failure notifications — bounce/DSN messages are visible and counted, not silently hidden. The Delivery failures folder and the Undelivered filter collect them, and a Bounced signal marks affected threads in the list.

Snooze and schedule

  • Snooze hides a thread until a chosen time — presets like Tomorrow 9 AM or Next week, or pick an exact time. Snoozed threads live under the Snoozed filter and can be woken early.
  • Emails composed with the Schedule menu are sent later and wait under the Scheduled filter, where you can cancel them before they ship.

Tip: use Mark unread to bring a thread back to your attention queue without snoozing it.

Continue with Email on the deal to see how threads attach to your pipeline.
