The sales playbook
The playbook is a distillation of your won deals — the strategy hint the assistant leans on when drafting replies. Build it, tune it, or edit it by hand.
The "Sales playbook" is a tab in the assistant hub in Settings. In the product's own words, it is "a distillation of your won deals — the hint the AI assistant relies on when drafting replies". Instead of you writing sales guidelines from scratch, Ikigai reads the email threads of deals you actually won and condenses what worked into a compact document.
What the playbook contains
The playbook is a single editable text (Markdown) describing the moves that win your deals: how top managers open conversations, handle objections, sequence discovery before price, and push to a clear next step. The status card ("Current playbook") shows its freshness — when it was updated, how many threads it was built from, and its version.
Building and rebuilding
- First time: press "Build the first playbook" — "the AI assistant will start leaning on your best conversations."
- Later: "Rebuild playbook" re-distills from fresh wins. Rebuilding warns you first: "Rebuilding will overwrite your manual edits. Continue?"
- The playbook is also refreshed on a schedule in the background, so it doesn't drift stale as new deals close.
"Build settings" control the sample: "Thread sample size", "How many managers", "Messages per thread", and the "Recency window" (30, 90, 180 days, or all time). The "Source" block shows the cohort — how many managers and won threads the build will draw from — and warns when there's little data ("the sample will be smaller").
Hand-editing
The playbook is yours to correct: press "Edit", change the text, "Save". A hand-edited playbook is flagged ("Hand-edited") so you know a rebuild would overwrite your changes. Advanced teams can also change the distillation prompt itself in the hub's "Prompts" tab.
How it steers assistant drafts
When the assistant writes a reply draft, the playbook conditions tone and strategy — which move to make next, how to structure the email, how to handle the objection at hand. It deliberately does not supply figures:
| Question in a draft | Source |
|---|---|
| How to phrase and structure the reply | Playbook |
| Prices, salaries, program terms | Active program templates |
| Requirements, process, documents | Knowledge base |
This separation means an outdated price can never leak from an old winning conversation into a new email — numbers always come from your live templates.
Prerequisites
The playbook requires the assistant to be enabled for the workspace: "Turn the AI assistant on in the Activation tab to build the playbook." Building also needs some won deals with email correspondence — with no won threads, there is nothing to distill ("No won deals to sample yet").
Tip: rebuild after a strong quarter — a playbook distilled from your latest wins reflects your current market, offer, and objections.
