Lead distribution

How new leads are assigned to managers automatically: rules, round-robin, contact-owner stickiness, and pausing your intake.


New deals do not have to wait for someone to claim them. The Lead distribution widget (Settings → Integrations) assigns an owner automatically the moment a deal lands in a watched stage.

Rules

Distribution is driven by rules — press Add rule to create one. A rule watches a source pipeline and stage ("Any pipeline" / "Any stage" are allowed), can optionally move the deal to a Destination pipeline / Destination stage, and lists the participating managers — each with a weight in the rotation and a vacation flag. Within a rule, managers receive leads round-robin.

On top of the rules, the widget has settings that apply to all of them:

Contact-owner stickiness

Before any round-robin, the widget respects existing relationships — the Duplicate check before distribution works like this: "Before round-robin, the widget checks the new deal contact's owner. If the contact already has an owner — the deal goes to them. If not, but a contact with the same phone or email has an owner — the deal goes to that owner. Only if nothing is found, round-robin kicks in."

Search by phone and Search by email toggles control which identifiers are used for that lookup. The result: a returning client keeps talking to the same manager.

Pausing your intake

Every manager can pause their own intake with the Accept leads toggle in the user menu. As the hint says: "Toggle off and new leads + your current clients will move to other managers until you turn it back on." Use it for vacations and days off — the rotation simply skips you.

Monitoring and manual moves

The widget's live view shows the current rotation: who is Next up per rule, today's load per manager, skip reasons, and the daily cap. If the widget is off, a banner warns: "Widget is off — no new deals are being routed". You can also apply rules to deals already sitting in a stage with Redistribute now.

Moving a card by hand on the board is exempt from distribution — the widget never overrides your manual assignment. See Working the kanban board.

Tip: keep "Actually assign manager" OFF while you tune rules, review the log, then switch it ON.
